Collection of Graduate Certificates

for Graduates of Postgraduate Programmes in 2021

The 90th Congregation for the Conferment of Master’s and Doctoral Degrees will be held on campus on Friday and Saturday, 5 and 6 November 2021. Since Hong Kong and many parts of the world are still under the impact of the COVID-19 pandemic, the University’s congregation of this year will be conducted in a simplified and dignified manner. In order to avoid a large crowd gathering, the centralised ceremony that is usually held at the University Mall will be replaced by ceremonies organised by Colleges and Faculties. The University will closely monitor the COVID-19 situation in Hong Kong. If the pandemic worsens, a VIRTUAL ceremony in an online format to confer the respective degrees would be arranged. An announcement on contingencies will be released for the necessary preparation in advance. The Communications and Public Relations Office will make an announcement in aspect thereof, and the Graduate School Office will post the updated certificate collection details in accordance with the relevant arrangements.


A. Collection of Graduate Certificates In Person from 5 to 6 November 2021 (applicable for graduates of Master’s and Doctoral Degree Programmes and Postgraduate Diploma Certificate Programmes):


On the day of their Graduation ceremonies, graduates may collect the graduate certificates in person, after the ceremonies are held by respective Faculties, in accordance with the following schedule.

1. Please present your original HKID card^ to the staff upon collection of the graduate certificate.


2. Graduate certificates for graduates with outstanding debts to the University will be withheld until the accounts are settled. Please be reminded to settle any outstanding fees/items with relevant offices as soon as possible. For details, please refer to Section E below

  3. For information on collecting a graduate certificate by an authorized person, please refer to Section C below.

4. To avoid large-crowd gathering at the venue on campus, graduates are encouraged to request for delivery of the certificates by Speedpost (please refer to Section D below), or collect the certificates from 8 November 2021 onwards (please refer to Section B below).


5. Please note that entry to the venues will be subject to body temperature checks. Graduates/visitors will be required to wear masks at all time and use hand sanitiser before entering the venues.


^ If you have lost/do not have an HKID card, please present the original copy of your passport. The name and date of birth printed thereon must be the same as your registration record at CUHK.


B. Collection of Graduate Certificates In Person from 8 November 2021 onwards:


From 8 November 2021 onwards, graduates may collect their graduate certificates in person at the Graduate School Office during the office hours.

C. Collection of Graduate Certificates by an Authorized Person


Graduates may authorize a person to collect the graduate certificates on their behalf. Please provide the following documents:

-          A printout of the completed “Authorization Form for Collection of Graduate Certificate”;

-          A photocopy of the graduate’s HKID/passport; and

-          The original copy of the HKID card/passport of the authorized person for verification purposes. The authorized person’s identification details should match with that on the “Authorization Form for Collection of Graduate Certificate”.

The authorized person will be required to sign and acknowledge receipt of the graduate certificate on behalf of the graduate.



In cases where the same person is authorized to collect more than 10 certificates, please understand that more time will be required for processing such a request. Depending on the situation, our office may ask the authorized person to come back in the next session (i.e. a few hours later/the next working day where appropriate). Please note that no more than 30 certificates can be collected by each authorized person.


D. Request for Delivery of the Graduate Certificates by Speedpost


To avoid large-crowd gathering under the pandemic situation at the venues, graduates are encouraged to use an online application system at MyCUHK to request for the delivery of the graduate certificates by Speedpost. Certificates will be dispatched at request after the Faculty specific ceremony is held. The normal processing time is 5 – 7 working days upon receipt of the application. (The processing time will be extended to 10 working days for the peak season in November.)

E. Students with Outstanding Debts to the University


Clauses 15.3 and 15.4 of the General Regulations Governing Postgraduate Studies stipulate that


“The Graduate Certificate shall be issued to a student after s/he has been conferred a degree at the Congregation. Graduate Certificates for graduates with outstanding debts to the University will be withheld until the accounts are settled. Graduate Certificates for graduates of Postgraduate Diploma/Certificate programmes with outstanding debts to the University will be withheld until the accounts are settled.”


If graduates have any outstanding fees/items, e.g. unreturned library materials, late payment penalty, etc., please settle them with relevant offices as soon as possible. The concerned graduates will be required to submit a copy of the “confirmation letter” issued by relevant offices showing that the outstanding fees/items have been settled upon their collection of the graduate certificates. Graduates are advised to check the latest office hours of the relevant offices for settling the fees/items.
