How to Apply 

 

Application Methods

Applicants may apply for the documents by submitting applications online via https://www.gradsch.cuhk.edu.hk/applyform/index.aspx

If a certified true copy of the certificate is needed, the applicant should bring the true copy of the graduate certificate to the Graduate School in person for our handling of the application. (Location and Opening hours of the Graduate School Office)

  • A comprehensive record of academic achievements and activities during your university studies.
     
Certifying Letter
  • Verifies a student's current status, including admission date, programme of study, expected graduation date, and for graduates, degree titles and conferment dates.
     
Report on Curriculum Details
  • Provides detailed study scheme and course descriptions.
  • Typically requested by organisations to verify academic accomplishments of students/graduates.
     
Certified True Copy of Graduate Certificate
  • Graduates of postgraduate programmes who have collected the graduate certificates may request certified true copy from the Graduate School.
  • The original certificate MUST be presented in person for certification. (Location and Opening hours of the Graduate School Office).

We suggest using “Registered Mail” for sending official documents, especially internationally. This provides a tracking number and costs an additional HK$15.5. Note that application fees are non-refundable and not-transferable once paid.

Time

Applications will be processed upon receipt of the completed application form AND payment. The normal processing time and fee schedule are as follows. Time needed for delivery of the document is not included. Please refer to Hongkong Post website for their expected duration of mail delivery.

Transcript

5 working days (normally)


10 working days (Special Schedule):
1. Application for Chinese transcripts from graduates of 2010 or before
2. Requests made during peak seasons in July and August
3. Requests for stating when the Graduate Certificate was issued on the transcripts [i.e., stating “Graduate Certificate issued in [Month] [Year]”] will be handled after the above specified date.  The transcript will be available 7-10 working days after respective degree conferment dates. For example, transcripts for the degree conferred on 31 July will be available around 9-14 August.*
 

Certifying Letter

The certifying letter will reflect as to whether Senate has approved the relevant academic awards and the letter will also state that i) the award certificate will be issued in due course or ii) the award certificate was issued in [the month and year concerned], whichever applicable.

Report on Curriculum Details

15 working days

Payment must be settled within one month from the date of application. Otherwise, the concerned applications will be regarded as invalid and will be cleared from the application system and application records.

*The Graduate School will process the graduation assessment and issue the proof of graduation to students as soon as possible.  

  1. Certifying letter for degree verification purposes for graduands will be offered upon the receipt of the graduand’s application.
  2. As to when the certifying letter will become available, it will depend on the formal conferral procedural stages (i.e., grade release, Graduate Division’s confirmation of graduation assessment results, GCExCo endorsement of the graduation status of the concerned student and Senate approval).
  3. The certifying letter will reflect as to whether GCExCo has endorsed or Senate has approved the relevant academic awards.  Senate approval will not be stated on the letter before it has actually taken place.

Normally, the complimentary set of certifying letter and full transcript will be sent to students about 2 months after students’ fulfilment of all graduation requirements (i.e. after release of grades for all courses taken and/or submission of final thesis and after the completion of conferral procedures for the relevant academic awards).  For details, please check out the Graduation Process.


Dispatch Methods

Collect in Person

Applicants can collect documents from the Graduate school during office hours.

Unclaimed documents will be destroyed after six months without further notice.

Collect by Authorised Person

Authorised representatives must bring Authorisation Form.

Photocopies of both the applicant's and representative's HKID card/passport are required for verification. Original identification documents will be returned after inspection.

Mail or Registered Mail

Clearly state the recipient's name, mailing address, and application purpose.

For international addresses, registered mail is recommended as it provides a tracking number. Regular mail does not offer tracking.

For Chinese Mainland and Taiwan deliveries, please provide the address in Chinese. Including a phone number is advisable.

Check Hongkong Post or EMS for mailing information to Chinese Mainland.

Email

Select "Send by email" in the remarks section to receive documents electronically.

Provide the email address in the addressee section.

No physical copy will be sent.

Courier Service
  • For courier services, applicants must arrange and pay directly.
  • Choose "Send by mail" and indicate courier arrangements in the remarks section.

Notes:

  1. The Graduate School sends electronic copies directly to World Education Services (WES) via their online system. Select "Send by email" and provide the WES email address (submit@wes.org).
  2. The Graduate School is not liable for document loss or damage during postal delivery. Application fees cannot be waived under any circumstances.

Personal Information Collection Statement

  1. The Graduate School will use personal data from application forms solely for processing applications. All information will be destroyed when no longer needed.

  3. Information may be shared with other CUHK departments/units for consideration and approval, where applicable.
